Prepare an ID document for sharing

Before sending an identity document, ask the recipient which fields they need and whether they accept a redacted or watermarked copy. Send it only through a channel you have independently checked.

1. Keep the original private

Work on a duplicate. Identify the fields the recipient needs, and mark the rest for removal. A document number, signature, barcode or QR code can disclose information even when nearby printed text is hidden.

2. Cover details using the right tool

Use PDF redaction for a PDF, or Blur an image for an image. For sensitive writing, choose opaque coverage rather than a translucent shape. PDF redaction rebuilds the pages as images with the boxes burned in, removing selectable text and annotations from that exported copy. This can increase file size and removes text accessibility.

3. Check every exported page

Open the result in a separate viewer. Zoom in around the edges of each box and inspect every page. Check for duplicated details elsewhere in the document, including headers and backs of cards. Never assume that a rectangle drawn in a general PDF editor removes the underlying words.

4. Add a document-use watermark if accepted

Use Document watermark to add the intended recipient, purpose and date. Keep required fields readable. A watermark communicates your intended use; it does not prevent copying, editing or misuse.

5. Review and send the final copy

Use Redaction reviewer to check the supported remaining text and metadata, and inspect the image visually. An empty search result is not proof that every secret was removed. Send the final copy with an expiry if useful, then keep a record of which recipient received it.

What to keep in mind

These tools cannot authenticate a recipient or guarantee that an ID copy is safe to send. Automated review may miss text inside images, unusual objects or unsupported formats. Use the minimum information the recipient actually needs.
