Share your free and busy times without meeting details
Someone arranging a meeting usually needs to know when you're free, not who you're seeing or what you're discussing. A calendar export can include those details. Make a busy-only copy before you send it.
1. Save a calendar copy
Export the calendar you need as an .ics file, a file type that calendar apps use. If your app lets you choose a short date range when exporting, do that first. Open the file in Calendar privacy cleaner. It works on the copy in your browser without connecting to your calendar account or changing your events.
2. Choose Busy times only
Keep Busy times only selected and use Busy, or another plain label, under Show hidden events as. Times and titles keeps meeting names. Choose lets you keep more fields, such as notes, places, guests and meeting links. Leave those out if you're only sharing availability. Events marked private are always made busy-only by this tool.
3. Take care with repeating events
For a file without repeating events, use From and To to choose the dates to share. If any events repeat, those date controls are disabled and the repeating schedules stay in full. Don't assume they've been cut to a short range. Export a smaller calendar from the original app, or send a few suitable times in a message instead.
4. Check the other options
Leave out free or cancelled events if they shouldn't block time. Keep Replace event IDs on to replace the original event codes and leave out associated creation and edit details. Timing and repeat settings still need to stay. Even a busy-only calendar can reveal a regular routine.
5. Check the download in a calendar app
Choose Download shareable .ics. Preview it in a separate temporary calendar or read the file on your device. Check normal meetings, all-day events and repeating events. Make sure the time zone is right, and look for names or addresses you meant to remove. The page preview doesn't show every event or field.
6. Tell the reader when you made the copy
Explain which dates you intended to share. This file won't update when you change or cancel a meeting later. Send the checked file rather than a private calendar subscription link, which could give continuing access.
Good to know
The cleaner makes a calendar file, not a live booking page. It leaves out parts of the calendar format it doesn't support, and different apps may import events or time zones differently. Check the finished file in the app you plan to use.
